Suppose the current specification requires a controls point schedule prepared for this project. The supplier's folder contains a general brochure for the equipment series. The engineer asks where the requirement appears and whether the submitted material covers it.

The assistant could find the specification passage and identify that the brochure describes the series generally. The reviewed material contains no project-specific point schedule. The engineer opens both documents, checks their scope, and prepares a supplier question: “Please provide the controls point schedule for this project, as required by the referenced specification passage.” They attach the relevant document reference.

The assistance covers finding the requirement and material to review against it. Technical judgment remains with the engineer. The assistant does not perform calculations, select engineering solutions, or approve the design.

A working view for the current project

Syntalith proposes an AI application for reviewing building systems documents that connects an engineer's question with specification passages and supplier material. The answer shows the document, its revision, and a link to the passage in full. The engineer can prepare a documentation question from the same view.

An initial scope can cover one current project. The project lead identifies the applicable specification and the material received from suppliers. This gives the application a defined collection and lets the team assess whether the results help with daily review. When a new document revision arrives, someone needs to ensure search includes it and distinguishes it from earlier versions.

PDFs do not all provide the same searchable material

A specification with selectable text differs from scanned pages. A scan first needs its text read from the image. An unclear passage may therefore be absent from search results even though it remains on the page. When assessing the application, open the source and treat a missing result as a reason to check the document.

A drawing or diagram needs separate attention. Finding a caption or label does not establish that the application has interpreted every relationship shown graphically. The initial scope can focus on text specifications and supplier data sheets, with drawings opened directly for the engineer to review. That helps establish which part of the reading task the application supports.

A local model within the company's application

If the firm does not permit project files to be sent to its usual external service, processing on a designated computer or server is an option to consider. LM Studio documents offline use of downloaded models and local document processing. Model discovery, downloads, and updates use network connections.

The administrator also agrees on where the application stores file copies and saved questions, and who can access them. Application logs and backups belong in that same data flow. Ongoing responsibility needs to cover updates and support when an engineer sees an outdated document or cannot open a source.

A trial on the intended hardware should follow the path from question to checked passage. The engineer assesses waiting time and how much material they have to reread. A quick answer that still leaves them searching every file does not solve the problem.

When existing search is enough

If the team knows document identifiers and uses search effectively in its project document environment, start there. Project and revision filters, along with PDF search, may already lead to the required passage. A model becomes worth comparing when engineers remember the meaning of a requirement but look for it using different words, or need to bring together passages from several documents.

When commissioning the application, the project team contributes questions that send them back to the specification and someone who knows the relevant source material. The administrator identifies the available environment and how current files will reach it. Comparison with existing search will show whether to develop the working view and its connection to the repository further.
