A name is gone, but context still identifies the project

Suppose a company prepares a problem description for a supplier consultation. The text contains an employee's name, contact details and an internal project name. The application suggests replacing the name with a role and removing the contact details. The reviewer notices that another paragraph still contains a detail identifying a project the supplier should not know about.

The employee revises the copy and checks whether the supplier can still understand the problem. Removing a name does not establish anonymity or permission to share. The company's assessment rules still apply when a model inside its environment proposes the changes.

Suggestions beside the original

Presidio describes replacement, masking and removal of detected personal-information passages. These are functions for processing identified text. In the proposed application, users see the selections and can add corrections. Company requirements may also concern commercial information outside standard personal-data categories.

Distinguish removing a passage from replacing it with a neutral description. Excessive removal may make the case hard to understand. The material owner assesses both the remaining information and the copy's overall meaning. The finished text should be easy to reread before release.

When a template is enough

If a partner always needs the same fields, a form or case template may work better. Employees can write within the agreed scope from the beginning. For a few short documents, manual editing may be simpler than building a tool.

Local assistance is worth comparing for long, varied descriptions that staff repeatedly adapt for different readers. The trial should reveal missed passages and correction effort, including restoring meaning after excessive removal. Fluent final wording does not replace review.

A scope limited to text

The first application can handle selected text documents. Files containing images, comments or other layers need a separate agreement on what will be examined. A visible text edit does not establish that the entire file is ready to share.

Originals and copies serve different purposes. Staff should recognize the version intended for the recipient while original access stays with authorized people. If local processing is required, include working copies and saved comparisons. Tool maintenance and support access need agreement with IT.
