OpenAI API implementation: workflow, costs and acceptance

Connect OpenAI models to your CRM, ERP or application. A practical workflow example with token costs, permissions, error handling and acceptance criteria.

The OpenAI API lets you put a model inside a workflow run by company software. When an enquiry arrives, for example, the system can extract requirements, look up catalogue data and prepare a proposal for approval. The employee receives the material in the tool they already use.

The value depends on the whole workflow: source quality, checking the result and handling an unusual case. This guide uses a proposed integration to explain delivery and pricing. The example is illustrative and does not describe a measured client result.

When an API integration makes sense

A business ChatGPT workspace may cover a task where an employee chooses the documents and guides the analysis. ChatGPT also offers tools and connections to external sources. Check those capabilities before commissioning a separate application.

An API becomes useful when you need your own trigger, data format, permissions and destination for the result. One example is processing every new form submission and sending a complete case to the right CRM queue. Our ChatGPT subscription versus API guide explains the purchasing decision.

Example: an enquiry becomes a proposal draft

Suppose a salesperson currently copies requirements, searches for products and works out what to ask the customer. An integration could handle the preparation:

  1. Receive the enquiry, assign an identifier and check whether it has already been processed.
  2. Ask the model to extract requirements into an agreed structure, recording missing information.
  3. Retrieve products and prices from an authorised source. Use application code to validate numbers, currency and discount rules.
  4. Prepare a draft with source references and highlight information the account owner must confirm.
  5. Save the approved result. Define sending permissions and the trigger for sending separately.

Structured Outputs helps produce a response matching a schema. Values still need validation: a correctly formatted price field can contain an incorrect price. When using model tools, the application remains responsible for authorising and executing operations.

Controls that belong in the implementation

Keep the API key on the server. Separate test and production environments and scope credentials to a project. Send the model the information needed for the task. Treat a customer document as input data even when it contains instructions about using tools.

Agree which actions may happen automatically. Reading a catalogue, changing a discount and sending a proposal have different consequences. Enforce restrictions in application code, account permissions and system configuration. Instructions to the model alone cannot provide that control.

According to the OpenAI API data documentation, API data is not used for model training by default. Abuse monitoring logs may normally be retained for up to 30 days, subject to documented exceptions. Features that store application state have separate retention rules. Setting store: false does not automatically provide Zero Data Retention. Check the chosen features against your retention requirements before using production data.

What the model calls cost

Assume 10,000 monthly calls, each with 2,000 input tokens and 500 billable output tokens. That totals 20 million input and 5 million output tokens. At GPT-6.1 Sol standard rates of $2 per million input tokens and $10 per million output tokens:

20 × $2 + 5 × $10 = $90 per month.

Rates come from OpenAI API pricing, checked on 30 September 2026. This short-context example excludes caching, tool charges and additional attempts. A real case may require several calls. Use actual billed usage counters, including reasoning tokens according to the model's billing rules.

OpenAI currently offers both alerts and enforced organisation or project spend limits. An alert only notifies you. Enforced limits can reject subsequent requests; enforcement is not instantaneous and a small overshoot is possible. The application should recognise the error and queue or hand over the task without repeatedly retrying it. See the spend limits documentation.

What else belongs in the budget

Include system access, data preparation, tests, hosting, monitoring, maintenance and employee review time. Our OpenAI and Claude API price comparison calculates several models against the same assumed token volume.

What to verify before launch

Test missing prices, conflicting requirements and an unavailable CRM. Deliver the same event twice and check that it does not create a second proposal. Rehearse stopping the workflow and handing a case to a person.

Acceptance should cover data accuracy, permissions, total salesperson time including corrections, and cost per accepted case. Include fresh examples that were not used to refine the instructions. If quality falls short, narrow the scope before increasing volume.
