Private AI for reviewing an email archive

A team returns to a completed project to find how earlier decisions developed. It has an email export, but searching by subject returns replies and repeated quotations of the same message. A private AI application can help select passages to read and connect them to original emails in the archive.

One proposal quoted several times

Suppose a project owner wants to understand why a particular delivery arrangement was chosen. One message contains a proposal, another asks for a change and a later message confirms the revised arrangement. Several replies also quote the original proposal. The summary should lead to those separate statements, preserving sequence and authorship.

The employee opens the messages to check whether the later text answers the earlier question. A repeated quotation does not become a new confirmation. If the export ends before the discussion does, the reader can see that later correspondence is absent from this collection and seek it in an authorized source.

Start with the existing mail archive

The mail client may already search senders, dates and content and display threads. When someone knows the project name and a participant, these features may be enough. A separate review becomes useful for a large, scattered export or a question phrased differently from the old subject line.

A model can suggest a short reading path, while source message relationships should be retained where available. An organized list of emails may be more useful than a long narrative of supposed agreements. Readers need to move from a summary statement to the actual passage.

Docling describes support for EML and MSG email files. Archive preparation also needs an agreed treatment of attachments and their links to messages. A trial with the actual export reveals what the proposed view can make available.

Select the material before starting

A mailbox archive may cover more work than the project under review. The company identifies the permitted collection and its readers. If materials must stay in its own environment, that includes text copies prepared for search and saved summaries. Access and retention are agreed with the administrator.

Begin with questions about past work that the team genuinely needs to answer. Finding the reasoning behind a decision requires different information from listing delivered attachments. In either case, the reader should know which period and mailboxes were included. A message absent from an export was not necessarily never sent.

Something to review before expanding
