AI before confirming an equipment inspection
The customer has confirmed entry to the site, but the production contact has not yet said whether the equipment will be accessible for inspection. The coordinator has a proposed time and only part of the arrangements, so another specific question is needed before confirming the visit. An AI agent can gather replies with the work order, show what each one covers, and draft a request for the missing confirmation.

Reception confirmed entry; production has not replied
Suppose a proposed visit covers an inspection of compressor A on Tuesday morning. The customer has confirmed entry through the site's reception desk. That message says nothing about access to the compressor, and the designated production contact has not answered the question about making it available at that time.
The agent can show the coordinator the site-entry confirmation, with a link to the email, alongside the open request concerning compressor A. It can draft a message to the production contact:
We are proposing an inspection of compressor A on Tuesday morning. Entry to the site through reception has been confirmed. Can you confirm access to compressor A during that time? We need this information before confirming the visit.
The coordinator checks the equipment reference and proposed time, then sends the message. When the responsible customer contact replies, that response stays with the work order. Before confirming the visit, the coordinator considers the reply and checks the technician and required equipment reservations.
The reply needs to cover the asset and proposed time
A brief “confirmed” is useful when it is clear which question it answers. The coordinator should be able to open the preceding message and see the equipment reference and proposed time. If the reply concerns only site entry, access to the compressor still needs to be settled.
When the proposed time changes, the earlier reply remains in the history, but the coordinator needs confirmation for the new window. The agent can find the person handling that conversation and draft a question referring to the change. A colleague taking over the work order can then see what has been asked and whose reply the team is awaiting.
The service company specifies which access details must be collected and who can confirm a visit. The project covers that correspondence. It does not assess technical readiness, safety conditions, or legal inspection requirements.
Check what your work-order system already records
Your service software may already have fields for the necessary arrangements. Microsoft describes scheduling requirements in Dynamics 365 Field Service, including location, duration, time windows, and required characteristics. These fields help record information used to organize a work order.
If the team receives replies in one place and immediately records them against the right asset, configuring the existing tool may be enough.
An agent is worth considering when the coordinator still has to extract arrangements from scattered correspondence and distinguish permission to enter the site from a reply about access to the equipment.

Connect customer replies to the coordinator's work
