AI training for people who create internal learning materials

Turning an instruction into an explanation

The author needs to know what readers should be able to do afterward. Asking for a shorter document does not communicate that purpose. The program covers selecting source passages, establishing what readers already know, and explaining the task in language they understand. Approved ChatGPT Work or Claude Cowork access can support comparing drafts and checking where simplification has removed an important condition.

Another part covers examples and practice tasks. Authors select a situation that calls for the principle being taught and explain what the learner should notice. They also work on a sample answer and feedback addressing a common misunderstanding. The instructor helps identify an exercise that only tests recall when the intended goal is performing a task.

CIPD's guidance on learning needs compares required capabilities with existing ones. A content author needs a similar starting point: what the reader cannot yet do and where they will use it.

An example needs to serve the learning goal

Suppose an internal instruction explains which form to choose for different cases. The AI draft lists the form names and asks learners to repeat them. Employees actually need to select the right form for a new request. During review, the instructor identifies this mismatch. The author writes a short case and asks readers to explain their choice using the approved instruction. The subject expert checks whether the case contains the information needed to answer.

The workshop also addresses feedback on the answer. A useful explanation identifies the feature of the case that determined the choice. Repeating the correct name does not explain why another form would be unsuitable. Authors practice communicating this context to the model and assessing its explanation.

Authors and experts contribute different knowledge

The content author handles clarity and the order in which ideas are introduced. The expert confirms the substance, while a representative reader can identify unfamiliar terms. The most experienced expert may still be new to AI. Tool practice and editorial work are considered separately so everyone can complete their part.

For an independent attempt, the author prepares material about a different task and explains what its exercise should teach. A manager can assess whether the resource is understandable, supported by its source, and offers meaningful practice. That assesses the material; the effectiveness of the wider learning program needs later observations of its users.

Sometimes revising an instruction or adding one example is enough. When the difficulty recurs across topics, training can help authors work independently on new material. Approved files, expert involvement, retained examples, and any consultations are agreed in the proposal.
