What does ChatGPT implementation cost a business?

A ChatGPT implementation budget includes access to the product, preparing the company to use it and the ongoing cost of running the resulting workflow. A team working with documents may need workspace setup and training. Connecting a process to a CRM or ERP adds work on data, permissions and failure handling.

The budget should describe what will work after delivery. “ChatGPT for 20 people” specifies a seat count. You still need to agree on the tasks those people will perform and who checks their output.

Current ChatGPT Business prices

The following prices were checked against OpenAI's price list on 30 September 2026.

A workspace requires at least two paid seats and can mix Standard and Premium. Both include ChatGPT Work and Codex. API usage is billed separately; additional usage beyond the plan depends on billing settings and limits. See the Business FAQ.

These are USD prices. Currency, taxes and purchase terms can affect the final invoice.

Premium makes sense for people whose allowance interrupts useful work. Check that during the pilot. Buying the higher tier for everyone in advance makes it harder to establish how much access the company needs.

Costs beyond the subscription

Initial costs include material preparation, configuration and training. An integration also needs implementation, testing and a way to send exceptions to a person. After launch, somebody still needs to review results, update sources and handle changes.

Employees' time belongs in the budget too. Eight people attending a six-hour workshop use 48 working hours. At an assumed employment cost of €30 per hour, that is €1,440. This is a planning example with an assumed rate, not a training quote or a reported implementation result.

The €600 training price covers a day of training. It does not automatically include a company workspace with several knowledge sources and an integration. Preparation and configuration require an agreed scope. If you commission a system build from us, the audit fee is credited toward it; do not count the credited amount twice.

Three different purchases

For employee access to ChatGPT, budget for seats, workspace preparation, training and staff time. A custom application is not a prerequisite for the trial. See the ChatGPT Business rollout plan.

If output must return automatically to a business system, obtain an integration quote and measure the cost of each completed case. A ChatGPT subscription does not cover OpenAI API usage. Include retries and cases handed to employees in the calculation.

For a software team, Codex may be the relevant starting point. Budget for repository preparation, tests and review time as well as access. The number of generated files does not measure business value.

A worked example of value

Assume a team prepares 300 documents each month. Current work takes 25 minutes per document; preparation and review after implementation take 17 minutes. This is an illustrative scenario to test during a pilot.

Time recovered is 300 × (25 − 17) / 60 = 40 hours per month. At an assumed employment cost of €30 per hour, the value of that time is €1,200. If source updates and support take another five hours a month, deduct €150. That leaves €1,050 before subscriptions, usage and maintenance.

Use your own figures in this formula:

monthly net value = task volume × minutes saved / 60 × hourly cost − solution administration − recurring costs.

With an initial cost of K and positive monthly value of V, indicative payback is K / V. Convert all items to the same currency before calculating. This is a planning calculation. Recovered time becomes a cash saving only when the company reduces actual spending; otherwise it represents capacity for additional work.

Also test a weaker scenario with fewer tasks, more corrections and lower adoption. If the project only works financially under ideal conditions, reduce the initial scope.

What the implementation quote should explain

Ask which deliverables have a one-time acceptance point and which responsibilities recur each month. The quote should separate vendor subscriptions from implementation services. It should also explain who pays for excess usage and what happens when the solution stops working.
