Rolling out ChatGPT in a small business: scope and budget
A practical plan for a business with 5–20 employees: choose the first task, set up accounts and budget for a rollout without a dedicated IT project.

In a small business, the person preparing a proposal may also answer customer questions and check an order. ChatGPT can reduce the preparation work across these tasks. It needs current source material and a review process that takes the owner less time than doing the work directly.

Choose a task with a checkable result
Start with work that happens regularly, has usable source material and has someone who can assess the output. A small services business might draft a proposal from a customer brief. A distributor might compare a request against product specifications. In either case, define the document that a reviewer should receive.
Consider a five-person office preparing service proposals. An employee supplies the brief, approved package descriptions and the current price list. ChatGPT drafts the scope and identifies missing information. The sales owner checks prices, delivery dates and commitments before sending anything. If there is no current price list, agree the pricing rules first.
Also consider a shared brief form and proposal template. When almost every job has the same structure, a template may remove most of the preparation work without generating the text afresh each time.
Company accounts and ownership
Give each employee their own account. A shared password makes access removal and accountability harder. Name a workspace owner and a backup for absences, and agree who approves additional seats and usage.
ChatGPT Business provides a shared workspace and essential administrative controls. Compare requirements such as automated user provisioning and detailed roles against Business and Enterprise. Test two ordinary events: a new employee joining and an employee leaving. Check connected applications, shared materials and paid seats as well as the ChatGPT account. Keep the procedure alongside the company's other account-management instructions.
Prepare the materials for one job
Use a small set of current documents, each with an owner and an effective date. Separate sample proposals from pricing rules. A discount granted to one customer last year should not become the standard price for the next customer.
ChatGPT can use attachments, while ChatGPT Work can produce documents and other files for review. Connected applications and available tools depend on the plan and workspace settings. OpenAI describes these capabilities in Use ChatGPT. Approved copies are enough for an initial trial; connecting a company drive needs a separate access review.
The task instructions should name the audience, the authoritative pricing source and the required output. Explain what to do when information is missing. For a proposal, that might mean returning questions for the customer instead of assuming a delivery date or scope. Test whether the workflow follows that rule.
A starting budget for five people

The modelled internal labour cost is €700. Adding the starting training price gives €1,300 plus $125 in subscriptions. This is a planning example. Configuration, extra programme preparation and integrations need a scoped quote. Replace the assumed €25 fully loaded hourly labour cost with your own figure, and state an exchange rate before adding amounts in different currencies.

Decide whether to expand
After employees complete tasks on their own, measure the full time spent preparing inputs, generating output, checking it and making corrections. Include work that had to be restarted manually. The owner needs to see whether the team can prepare more accepted proposals in the available time and whether managers have inherited extra checking work.
