What ChatGPT can do for a business today
According to the official ChatGPT Business description, the product includes projects, apps, company knowledge, ChatGPT Agent, Deep Research and Codex. Since 9 July 2026, OpenAI has used the Plugin Directory as the primary directory for discovering workflows. Apps remain the integrations with external data and actions. Company Knowledge can search eligible connected sources, return citations and respect each user's existing permissions.
On the official pricing page, ChatGPT Business is $20 per user per month billed annually or $25 billed monthly, with a minimum of two users, as verified 14 August 2026. OpenAI also states that business data is not used for model training by default. You must still assess the selected plan, region, connected apps and your own lawful processing basis.
If these capabilities cover the work, start there. A separate system is hard to justify when its only job would be writing, analysing files or doing research in a similar interface.
When Microsoft 365 Copilot is the right choice
Microsoft 365 Copilot is a natural fit when documents, email, meetings, spreadsheets and company permissions already live in Microsoft. Its current plan page describes Copilot across Word, Excel, PowerPoint, Outlook and Teams, together with agent capabilities. Price and availability depend on market, base plan and billing, so verify the offer in the company's tenant on the purchase date.
Microsoft's enterprise data protection documentation describes operation within existing Microsoft 365 permissions, labels, retention and audit, and states that prompts, responses and Microsoft Graph data are not used to train foundation models. Administrators remain responsible for access, app, agent and policy configuration.
If the process fits this environment, configuring Copilot or a platform agent is usually a better first step than separate infrastructure.
