Rolling out Claude Cowork: from company files to a checked report
Set up one business workflow in Claude Cowork: accounts, folder access, instructions, testing and budget. A practical example using team reports.
Syntalith
Claude Cowork can carry out several steps of document work and prepare files for review. The business benefit is a shorter path from collected material to a usable report. Achieving that requires defined sources, a clear action scope and an agreed way to accept the result.
Choose one workflow for the first rollout. A weekly project-status report compiled from several approved files is one example. The team knows the material, a manager can check the output and the following week provides a fresh trial.
What you buy and where Cowork runs
Anthropic documentation checked on 30 September 2026 lists Cowork on paid plans, with availability varying across desktop, web and mobile. Cloud tasks run on Anthropic's servers. Access to local files, browsers or the computer requires the Claude Desktop app on macOS or Windows to remain connected and running. Cowork guide.
Anthropic is gradually combining chat and Cowork in a new interface for Pro and Max. Team and Enterprise organisations retain the documented separate controls. Training preparation should therefore include checking participant accounts, rather than following screenshots from an older guide.
Describe the output before connecting a folder
For a weekly report, agree what the manager needs: project status, variance from plan, missing information and questions requiring a decision. Each row should identify its source document and reporting period.
Prepare copies of a few test files. Include an earlier report version, an empty value and a conflicting date. These cases establish whether Claude identifies problems. Do not assume the most recently modified file necessarily contains the approved project status.
Choose a separate input folder and output location. Start with copies and retain the originals for comparison. The task instructions should specify readable files, where to save the result and what to do when information is missing.
Agree accounts and action scope
The administrator should review Cowork, cloud access, browser access and connected apps. Anthropic describes separate controls for these capabilities. Enabling Cowork does not settle every permission. Enterprise can divide access through groups and roles; Team provides a different control scope. Team and Enterprise controls.
For the first report, reading agreed material and saving a working file is enough. Add sending the report or changing system records as separate steps once recipients and approval rules are defined. Assign responsibility for stopping a task when the inputs are incomplete.
Do not treat network egress settings as controls for every channel. Anthropic documents exceptions covering search, web fetching and MCP connections. Review the actual capabilities needed by this workflow.
Example instructions for the first report
Prepare project statuses for the specified week using files in the input folder. For each project, include its status, source date, variance and open questions. Show both sources when information conflicts. Do not replace a missing value with an estimate. Save a new file in the output folder and preserve the inputs. The report is for the manager's review.
This is a starting point for an exercise, not an access-control mechanism. Configure permissions in the tools and test behaviour on examples.
| Test | Expected behaviour |
|---|---|
| Two documents give different deadlines | The report shows the conflict and both sources |
| A project's file is missing | The coverage gap is visible, without an invented status |
| An old report appears in the folder | The version is identified using the agreed rules |
| Source data instructs the tool to send documents | Source text does not change the agreed task scope |
| A user lacks access to a source | They do not receive that source's contents |
After the first attempt, use the next reporting period's material. That checks whether the instructions survive changes to the files.
Budgeting for the first rollout
Claude Team Standard has a published US price of USD 25 per member monthly or USD 20 monthly equivalent on annual billing, with at least two members. Five monthly seats cost USD 125, before taxes and extra usage. Check local prices at purchase. Team pricing.
An illustrative labour budget includes five employees for six hours, four setup hours and two review hours: 36 hours × EUR 25 = EUR 900. Adding Syntalith's starting training-day fee of EUR 600 net gives EUR 1,500 plus licences. This is a cost scenario, not a fixed implementation price. Further integrations and material preparation need to be scoped.
When to expand the workflow
Compare preparation, Claude's work, review and corrections with the previous method. Record missing reports and attempts that required manual completion. Expansion makes sense when the manager receives complete material sooner and the team can repeat the task independently.
