Introducing ChatGPT and OpenAI at work: where to start

Start a company ChatGPT rollout with a specific task and the people who do it. Agree which data they may use and who will check the output. Then choose a business workspace or an OpenAI API integration according to where the work needs to happen.

A ChatGPT workspace or an OpenAI API integration?

You can use both. First describe what should work when the rollout is complete.

ChatGPT Business provides a shared workspace with user administration. The OpenAI API is a separate service with separate billing. Budget for the subscription and integration work individually.

Agree how company data may be used

Before inviting staff, document which information they may bring into the tool. Assign a workspace owner and define how access is granted and removed. Name the person responsible for connected data sources.

OpenAI states that it does not train models on business and API data by default. Retention and access controls vary by product. Check the enterprise privacy documentation for the offering you plan to use.

Work through the ChatGPT data safety questions and write company AI usage rules. When connecting internal material, also check that users can only retrieve information they are entitled to see.

Pilot one task with the people who do it

Drafting a proposal from approved company material can be a useful first task. The team knows the inputs and can judge whether the output is usable.

1. Collect typical cases and difficult exceptions. Remove data that is not permitted in the trial.
2. Record how the task works today and how you will assess the result: accuracy, editing required and human time spent.
3. Prepare instructions and source material. Agree who approves the output before it is used.
4. Test with the people who will use the tool. Record failures and adjust the pilot's scope.
5. Decide whether to expand use, change the workflow or stop the trial.

Training should use that team's actual tasks. Discuss AI training for your team alongside the rollout plan.

When should you connect business systems?

If staff repeatedly move the same information between tools, investigate whether the workflow can be connected. Specify data retrieval, draft preparation and actions that change a system separately. Creating a proposal record and sending a message each need explicit permissions.

Test missing information, service outages and incorrect model output during the pilot. Define when a person takes over and how to return to manual processing. Our step-by-step AI agent implementation guide covers the delivery sequence.

What should the pilot leave your team with?

For the proposal example, the output is a draft grounded in approved material, a list of missing information and a review by the account owner. The team should also have a working instruction, reference cases and a record of errors to check. The number of accounts created does not show whether the tool helps.

Measure preparation time including edits, accuracy of prices and terms, and cases needing further clarification. Include an expired price list and a brief with no deadline in the test. The system should flag the issue before a commitment is made. Expand the scope after those cases have been checked.

What belongs in the budget?

These are starting amounts from Syntalith pricing, checked on 30 September 2026, excluding VAT. Workspace configuration, data sources and permissions need an agreed scope; do not assume all setup work is included in a training day. We credit the audit fee toward a system build commissioned from us.

Budget separately for ChatGPT seats, API usage, hosting and maintenance. Maintenance is quoted for the required scope. Include data preparation and employees' review time when comparing costs. An integration needs to justify these ongoing expenses as well as the initial build.
